Procurement Team Calculator
How will your procurement team cope with its workload—and what will it cost to meet your service targets?
Use this calculator to explore the relationship between staffing, salary costs, and procurement service levels. Enter your annual request volumes, set completion targets, and adjust your team to see the projected impact.
What you can assess
-
Staffing and cost: Find a staffing mix that meets your SLA targets at the lowest salary cost among the options tested.
-
Performance within a budget: Compare achievable service levels within your monthly salary budget.
-
Changes to your team: Add or remove manager, senior, or junior FTEs and recalculate the impact on cost and SLA performance.
-
Operational disruption: Include holidays, leave, sickness, staff turnover, recruitment time, and reduced productivity during onboarding.
The calculator covers five procurement procedures: Open RFP, Closed RFP, Single-source, RFQ, and Contract extension. You can adjust request volumes, completion targets, effort, and waiting times for each.
How to use it
-
Enter your annual procurement volumes and SLA targets.
-
Set assumptions for salaries, productivity, and workforce.
-
Select your objective and click "Calculate recommendation".
-
Adjust the recommended FTEs to explore alternatives. After changing workload or other assumptions, click Recalculate SLA now to test your current team.
FTE means full-time equivalent: 1 FTE represents one full-time position; 0.5 FTE represents half-time capacity.
How to interpret the results
The calculator uses Monte Carlo simulation to test repeated variations in workload and staffing availability. It estimates the share of requests completed within each procedure’s SLA and shows how annual performance could vary.
A result of 95% within SLA means that 95% of simulated requests meet their deadlines. It does not mean a 95% probability of achieving your annual service target.
Default values are illustrative. Replace them with your organization’s data before using the results to support staffing or budget decisions. Calculations run in your browser.
