The objective is not simply to automate an existing process, but to remove unnecessary steps before configuring the remaining workflow.

First things first: understand your process. Sounds obvious, but you’d be amazed at how many people jump into automation without decomposing the steps and optimizing approvals and lead times, etc.


Next, pick the right tools within Microsoft 365 for workflow optimization:


  • Power Automate: The star of the show for automation. It connects apps and services to automate recurring tasks.

  • SharePoint: Great for document management and collaboration, especially our favorite trackers and document libraries.

  • Teams: Collaborative communication in one place. By the way, it's an approval engine, as well.

  • Planner: Helps track tasks and deadlines.

  • Outlook, Word, Excel: they are still there as lists, forms, or process triggers.


Combine these tools to build workflows that actually work. For example, use Power Automate to trigger an approval request when a new procurement form is submitted in SharePoint. Notify colleagues in Teams, and track progress in Planner.


Pro tip: Use templates. Microsoft 365 offers plenty of pre-built workflow templates that you can customize. Saves time and reduces errors.


What is Replacing SharePoint Workflows?


If you’ve been around for some time, you know SharePoint workflows were the go-to for automation. But now, Microsoft is phasing out classic SharePoint workflows in favor of Power Automate. It’s cloud-based, supports more connectors, and offers a modern interface. Plus, it integrates seamlessly with the entire Microsoft 365 ecosystem.

Best Practices for Designing Efficient Microsoft 365 Workflows


Designing workflows isn’t just about connecting dots. It’s about creating a system that’s reliable, scalable, and easy to maintain. Here’s what I’ve learned:


  1. Keep it simple. Don’t overcomplicate. Start with the core process and add features only if they add real value.

  2. Use clear naming conventions. Your future self will thank you when you revisit workflows months later.

  3. Test thoroughly. Run workflows in a test environment before going live. Catch errors early. Repeat. Usually, I spend 60-80% of the workflow development time on testing. You have to try various use cases, process actors, and newly created artifacts.

  4. Document everything. Write down what each workflow does, who owns it, and how to troubleshoot. But don't over-document. People aren't happy to read long texts.

  5. Improve endlessly. Use analytics and feedback to continuously improve workflows and identify quick wins that enhance user experience or solution performance without major effort.

Let me share a couple of scenarios where mastering Microsoft 365 workflow design made a real difference:


  • Procurement approvals: Any company can automate its purchase request process. Requests submitted via a SharePoint form triggered approval workflows in Power Automate. Managers received notifications in Teams, and once approved, the finance team was automatically alerted. Approval times dropped from days to hours.

  • Vendor onboarding: Automating document collection, compliance checks, and training assignments using Microsoft 365 tools reduced manual follow-ups and errors. The onboarding team could track progress in Planner, ensuring nothing slipped through the cracks.
